What is event registration software for associations?

Event registration software lets people sign up and pay for an event, and records who is attending. For an association it also has to recognize members, apply member pricing, handle several people from one organization, and pass the result to the member record.

That last requirement is where most buying mistakes happen. A general ticketing tool sells tickets well. An association needs the registration to land on the right member, in the same system that holds dues and history.

Ask who can change each of these after launch. A requirement that needs a consultant every time is not self-managed.

Choose by the hardest registration you run, not the easiest. If most events are simple but one annual conference is complex, the conference can use a different tool from a chapter lunch, provided both write to the member record.

What happens to the data after registration?

Registration tells you who came. It does not tell you what they wanted, how it went or whether they will return. That evidence arrives through surveys and comments, and it usually lives in another tool, joined to registrations by hand.

Plan the join before you buy. Every registrant needs a stable identifier that survives a change of email or employer, and the same identifier should travel with the survey before the event, after it, and into next year's registration. Keep the registration and the survey on the same person, and report coverage against registrants and attendees, not responses.

Frequently asked questions

Is event registration software the same as an AMS?

No. An AMS manages members, dues and renewals, and many include an events module. Event registration software focuses on signing people up for events. Many associations use both, connected.

Do we need a separate tool for a large conference?

Sometimes. Large conferences with sessions, exhibitors and apps can outgrow an AMS module. If you add one, test how registrations sync to the member record.

What does it cost?

Prices vary by attendee count, transaction fees and services. Ask every option for the same scenario, including setup, payment fees, training and support, and compare the total.

Can one tool handle chapter events?

It can, if chapter volunteers can set their own events and prices without staff help and every registration still lands on the member record.

Where do attendee surveys belong?

Keep them on the same person as the registration. A survey tied to the registrant lets you compare expectations with results and follow the same member across events.
