Give contributors a clear responsibility
P-12 supplies its work evidence; T-6 confirms receipt or completion; an authorized reviewer resolves the comparison. These roles may belong to different organizations. Set their scope before sharing records.
Partners need to see what is missing and what was accepted. A request that disappears into a central dashboard discourages useful follow-up. Return the relevant status and next action without exposing unrelated partners.
Assign ownership for overdue clarifications and contested corrections. An automatic tag is not a completed action; someone must know when and how to respond.
Test the access behind the view
A supplier should not receive another supplier’s restricted documents through a search, export or source citation. Test the actual configured access with fictional records.
Limit site contributors to the records their role needs while giving operational reviewers the authorized cross-site view. Document how staff and contract changes affect access.
Keep review history and release decisions. A public or client-facing report may require a narrower view than the internal operational record. Source links should honor that difference.
Run one complete pilot
Trace W-8 through submission, receiving confirmation, the unit exception, clarification and approval. Record expected and actual behavior. Include a deliberately unauthorized access test.
Ask the receiving team whether the returned information helps it act. Ask the reviewer whether the approved result can be traced without rebuilding the file history. Fix any missing owner or ambiguous status before extending the process.
