Design the return each reader needs
L-18 needs feedback they can act on. The facilitator needs to see which teaching elements participants found difficult. Client A needs its agreed cohort findings. These are different views drawn from an appropriately governed record.
A learner report can connect the starting goal, reviewed practice evidence and next action. A client report might summarize coverage, demonstrated skills and later application with limitations. Do not assume the client should receive raw individual coaching notes because it paid for the program.
Before inviting raters, explain how their responses will be used and shown. Configure reporting for the agreed confidentiality promise. Avoid claims of anonymity when role, wording or small-group context could identify a contributor.
Test the underlying access, not just the report layout
Define who can submit, read, correct, analyze and approve each record type. Include uploaded documents, source citations, exported files and shared links. Hiding a note in the visible report does not help if its citation opens an unrestricted source.
Test that Client A cannot retrieve Client B’s records through the report, a search or an export. Use fictional data first. Confirm the configured platform behavior rather than treating an instruction in an AI prompt as the access control.
Assign responsibility for staff changes, withdrawn sharing permissions, corrections and recurring report approval. Revoking a link does not retrieve a copy already downloaded. Document those practical limits and keep the relevant owner involved.
Complete one evaluation cycle before expanding
Build a small pilot containing L-18, a missing follow-up, an ambiguous assignment and an unrelated client record. Produce a learner feedback view and a client summary. Ask different reviewers to trace the claims and challenge an unsupported interpretation.
Check that a correction reaches the next report without erasing the original source. Confirm that the next collection invitation uses the right person, episode and timing. A polished dashboard is not a substitute for this complete workflow test.
Your finished workbook is a specification the team can use to configure and evaluate its process.
