From ten programme reports to one funder submission

Open Play Foundation runs four sports facilities in Stellenbosch, alongside water infrastructure, community coaching and a food-security programme. The team needed one place to see activity, maintenance, water use and programme evidence together—not another quarterly report.
They began with one programme and one connected record. As staff activity and facility signals arrived, the same record could support a daily decision and a funder report without rebuilding the evidence.
Read the signal while it matters
Open Play’s earlier community baseline remains valuable for understanding change over time. It cannot tell the team what happened at one court last week. That operational question is what determines whether a facility is used, maintained and working as intended.
With data read in context, a water leak surfaced immediately rather than becoming a footnote in a later report. The team did not build the system to find leaks; the connected record made the signal visible to people who knew what it meant.
